As an administrator, you will be able to track and assign the refunds/credits that have been credited back to the employee's respective corporate credit cards. In order to take the credits into account, the credits must come in via the bank's statement upload/data feed.

Below is an example of how the bank statement with credits would look like;

Sample statement

Note: The negative expenses are the amount that has been credited back to the employee's account by the vendors.

Tracking Credits on Fyle

Step 1: Once the transactions are in, switch to the Organization view and go to the Manage Cards tab under the Corporate Cards section.

Under Manage Cards, you will find:

  • Assigned Cards(Cards that are already assigned to employees)

  • Unassigned Cards(Cards that are yet to be assigned to employees)

Step 2: To track the cards with unassigned credits/refunds, go to the Unassigned Cards tab.

Step 3: With the Filter option from the top right, filter out cards using Unassigned Credit as a filter.

To spot cards with total credit/refund amount, falling between two specific ranges, you can define the range in the minimum and maximum amount fields.

For example: If the minimum amount mentioned is 100$ and the maximum amount mentioned is 200$, you will be able to spot the cards which hold the total credits amount between these two ranges.

Step 4: Once you apply the Unassigned Credit filter, you will be able to see all the cards which have unassigned credit transactions and the total amount of credits that each card holds.

To assign these credit transactions, click on any card in order to see the transactions that were incurred in the card.

Note: If you are able to see a negative(-) sign/value preceding the amount, it is a credit transaction.

To spot all the credit transactions incurred within the card, you can create another filter from the top right i.e Credit transaction, and select Yes.

Once you Apply the Filter, you will be able to spot all the credit transactions within the selected Card. These transactions can be assigned either in bulk or individually.

Another way to track all the credit transactions is through the Transactions tab.

Step 1: Click onto the Transactions tab and create another filter using the Filter option from the top right. Select the filter Credit Transaction and mark it as Yes.

Step 2: Once you apply Filter, you will be able to spot all the credit transactions.

Step 3: To assign the transactions in bulk, select all the credit transactions which you filtered using the previous step and click on Assign. A pop-up will appear asking for the cardholder's name, you can mention the name and Assign the transactions.

Step 4: To assign the transactions individually, click on Assign Transaction present to the right of every transaction. Again, a pop-up will appear asking for the cardholder's name.

With this, you will be able to assign credit transactions to their respective cardholders.
